From Paper Ledgers to a Clinic Platform

BRAC's Limb and Brace fitting Centre ran registration, consultations, prosthetics sales and stock on paper, so records could not be retrieved, patients could not be followed up, and management had no view of performance. We designed and delivered a single platform covering six operational areas, from client registration through to KPI dashboards, and handed it over with staff trained to run it.

The Challenge

A Centre Running on Paper

The centre fits low cost limbs and braces for patients who travel far to reach it, yet every appointment, consultation and sale lived in a paper register.

Staff could record a visit but not retrieve it quickly, so a returning patient effectively started over. Sales were written down without ever being aggregated, so the centre could not project demand for limb sizes or components, and had no way to see where its own process was losing time. Management oversight depended on whoever had read the registers most recently.

What Was Breaking
  • Client appointments, consultations and limb sales recorded manually, with no reliable way to retrieve a past record
  • No patient history to follow up on, so fittings and reviews depended on the client returning unprompted
  • Sales written into registers and never aggregated, leaving no basis to project demand or plan stock
  • Inventory, cash receipts and operating expenses tracked separately from the service they belonged to
  • No performance visibility for centre management beyond manual summaries
Our Approach

Assess First, Then Build in Stages

The contract began with an assessment of how BLBC actually worked, and released the platform in stages so staff met it early and shaped it before handover.

Assessment and Requirements

Documented every step of the centre’s operation, from the moment a client arrives to the point a limb is delivered and paid for, and turned it into a written requirement set signed off by BRAC.

System Design and Implementation Plan

Process flows for the core functions, interface and dashboard samples, and a phased implementation plan for a live centre that could not stop taking patients.

Alpha Release for Internal Feedback

A first working version released to a limited group of HNPP users with manuals and release notes, so gaps surfaced against real workflows rather than assumptions.

Beta Release and Refinement

The full module set opened to centre users, with corrections driven by what they hit in daily use and updated documentation at each cut.

Training and Supported Dry Run

A training plan and manual for BLBC personnel, then a supervised dry run of live operations, with staff trained to handle first line support themselves.

Handover and Playbook

Final user manuals, a software playbook for future development, and a defined after sales and expansion path. Intellectual property sits with BRAC.

Ongoing Support and Maintenance

After go live the engagement continued as support: corrective fixes, adjustments as the centre’s process changed, and a second line behind the staff trained to handle first line requests.
